Anthos|Home is a groundbreaking startup dedicated to housing vulnerable New Yorkers. We're seeking a passionate and experienced Operations Specialist to join our team and make a significant impact on the lives of those in need of stable housing.
The Role
The Operations Specialist reports to the Operations Supervisor and focuses on managing repairs to ensure units are move-in ready. Key aspects of the role include coordinating with landlords and vendors, managing unit access, maintaining accurate records of repair activities, and ensuring compliance with internal policies and city regulations. The ideal candidate is highly organized, detail-oriented, and excels at relationship management to foster collaboration and ensure timely and compliant unit readiness.
Key Responsibilities
- Oversee the entire repair process, ensuring timely progress, scheduling inspections for Anthos-completed repairs, and facilitating unit access by collecting keys and setting up lockboxes.
- Coordinate with landlords and vendors to ensure repairs meet inspection standards and compliance requirements.
- Track and update all repair-related activities and costs in Salesforce with accurate and timely data entries.
- Communicate repair updates clearly and promptly to internal teams, ensuring smooth handoffs and alignment.
- Document completed repairs through photos, videos, and notes to support compliance and reporting.
- Source and maintain relationships with vendors, prioritizing Minority and Women-Owned Business Enterprises (M/WBE).
- Ensure data integrity and accuracy in all tracking systems
- Maintain confidential tenant and landlord files within our database
- Demonstrate adaptability in supporting various departmental needs
Qualifications
- Bachelor’s degree and/or 2+ years of experience in repairs coordination, property management, or operations.
- Familiarity with NYC housing regulations, including Housing Quality Standards (HQS), is highly desirable.
- Experience working with vendors and contractors, especially in coordinating repair work.
Required Skills
- Ability to manage complex priorities and meet deadlines in a fast-paced, deadline-driven environment
- Strong communication skills, both written and verbal
- Detail-oriented and an effective problem-solver
- Ability to work independently and collaboratively as part of a team
- Discretion in handling confidential financial information
- Familiarity with the NYC housing market and voucher system a plus
- Proficiency in MS Word, Excel, PowerPoint and Salesforce
- Passion for the mission of the organization
- Ability to work in a diverse environment.
Compensation and Benefits
- Competitive Pay: $65,000 - $70,000 salary range (dependent on experience)
- Hybrid work environment with 3 days in-office and occasional site visits to units for inspections or contractor meetings.
